1. Who we are

Little River Wairewa Community Trust (the Trust) is a charitable trust based in Little River, Banks Peninsula. We support the wellbeing of the Little River community through events, facility management, and community initiatives.

The Little River Community Centre is operated under the Trust, and is governed day-to-day by the Little River Community Centre Committee. This Privacy Statement covers personal information collected through Trust activities generally, and through the Community Centre’s booking and hire process specifically.

This Privacy Statement explains what personal information we collect about you, why we collect it, how it is stored and protected, and what your rights are under the New Zealand Privacy Act 2020.

2. What personal information we collect

Personal information means any information that identifies you or by which you could be identified. Depending on your interaction with the Trust, this may include:

  • Your name, postal address, email address, and phone number
  • Information you provide when registering for or participating in Trust events or programmes
  • Information included in the Little River community phone directory, where you have consented to its inclusion
  • Photographs or video taken at public Trust events, subject to the conditions in section 5 below
  • Where you make a booking to hire the Community Centre: your name, contact details, the date(s) and time(s) requested, the nature of the event, expected numbers, and any access or setup requirements you provide
  • Any other information you choose to provide to us directly


We do not collect payment or banking information through the Community Centre booking form. Where a hire fee or bond applies, payment is arranged separately and is not processed via the booking form.

We will only collect personal information that is necessary for the purpose stated at the time of collection.

3. Why we collect your information

 We collect personal information to:

  • Organise and communicate about community events and Trust activities
  • Maintain records required for Trust governance and legal compliance
  • Compile and update the Little River community phone directory (with your consent)
  • Process, confirm, and manage bookings for hire of the Little River Community Centre
  • Respond to enquiries and requests
  • Meet any legal obligations

We will always tell you why we are collecting your information at the time we collect it, and we will only use it for that purpose or a closely related one.

4. How we store and protect your information

The Trust takes reasonable steps to protect your personal information from loss, misuse, or unauthorised access.
Electronic records are stored in password-protected systems.

Physical records are kept securely and accessible only to authorised Trust members.

Where we use cloud-based tools or services, some data may be stored on servers located outside New Zealand. We take steps to ensure these services meet acceptable security standards, and we remain responsible under the Privacy Act 2020 for information held on your behalf in those systems.

The Community Centre booking information is recorded in a booking register accessible only to members of the Community Centre Committee involved in processing Community Centre hire enquiries. We retain booking records for as long as is necessary to manage your booking and for our own records, after which they are securely deleted unless a longer period is required by law.

We retain personal information only for as long as it is needed for the purpose for which it was collected. When information is no longer required, paper records are securely destroyed and electronic records are permanently deleted.

5. Photographs and images

Where photos or video are taken at Trust events in public settings, we do not require individual consent. Where images are taken in other contexts, or where images will be published (for example on social media), we will seek your explicit consent beforehand.

We will always seek explicit consent from a parent, caregiver, or whānau member before taking, storing, or publishing images of children under the age of 16.

For community events organised by the Trust or the Community Centre Committee, photos may occasionally be taken and used for community purposes such as the Trust’s website or social media. If you have any concerns about the use of photos taken at one of these events, please speak to a Community Centre Committee member at the event.

Where the Community Centre is hired by another individual or group for their own event, any photos taken at that event are the responsibility of the hirer and their guests, not the Trust or Community Centre Committee, and this Privacy Statement does not cover them.

6. Sharing your information

We will not sell or rent your personal information. We will not share it with third parties except:

  • Where you have given us explicit consent to do so
  • Where it is necessary to carry out an activity you have requested (for example, passing your details to a relevant contractor or co-organiser)
  • Where we are required to by law

Personal information collected for one purpose will not be used for a different, unrelated purpose without your consent.

7. Your rights

Under the Privacy Act 2020, you have the right to:

  • Ask whether we hold personal information about you
  • Request access to that information
  • Ask us to correct any information that is inaccurate or misleading
  • Ask us to delete information we no longer need to hold

To exercise any of these rights, please contact our Privacy Officer (see section 9).

8. Privacy breaches and complaints

If you have a concern or complaint
If you believe the Trust has not handled your personal information appropriately, please contact our Privacy Officer in the first instance. We will acknowledge your complaint promptly and aim to respond within 20 working days.

If you are not satisfied with our response, you may refer your complaint to the Office of the Privacy Commissioner at www.privacy.org.nz or by calling 0800 803 909.

If a breach occurs
If the Trust becomes aware of a privacy breach that is likely to cause serious harm, we will notify both the affected individual(s) and the Office of the Privacy Commissioner as required under the Privacy Act 2020.

9. Our Privacy Officer


The Trust’s Privacy Officer is responsible for ensuring we meet our obligations under the Privacy Act 2020 and for handling access requests, corrections, and complaints. This includes matters relating to Community Centre bookings.

10. Updates to this statement

We may update this Privacy Statement from time to time. The current version will always be available on the Trust’s website and from our Privacy Officer on request. The effective date at the top of this document will reflect the most recent update.
